Mott MacDonald is looking for a full time Project Coordinator to work on our transit projects. As a Project Coordinator assigned to a large transit project, you will collaborate with a diverse team of professionals in the Washington Metropolitan Area. The ideal candidate will excel at managing multiple tasks simultaneously and thrive in a fast-paced design-build project environment.
Typical Duties and Responsibilities:
- Assist with updating monthly budget forecast and goals status for department projects
- Assist with preparation of project status reports to identify progress and monitor the project schedule and budget, to include CAPSTAT updates and preparation of Weekly Director progress report
- Assist with the oversight of the Capital and Operations budgets and preparation of accruals
- Maintain the contract files and project logs that include Contractor-Client correspondence, Contractor invoices and progress payments, coordinate contract changes and claims, time sheets and overtime, and cost estimates for changes to contract work
- Monitor and maintain contract logs with distribution of documents between Contractor and staff for compliance with contract time commitments
- Coordinate the collection of daily inspection reports from field inspectors and record lost time for Contractors; reconcile the lost time with reports from the Contractors
- Coordinate progress meetings with Contractor, and technical consultants, prepare meeting agendas, record meeting minutes, and follow up on action items
- Coordinate review of invoices and progress payments, prepare the payment packages and invoice reconciliation for authorization for payment
- Assist staff with collection of contract data and documentation and preparation of contract changes/modifications and claims
- Generate Bi-Weekly Work Plan with track rights, switch order number for assigned project(s)
- Provide Track Right log for contractor actual track access and track access delay, per management request
- Perform other duties as assigned by a Task Manager and/or the Program Manager
Candidate Specifications:
- Bachelor’s degree in project management, Business, Finance or related field
- Minimum three (3) years demonstratable experience in Project Coordinator role and a minimum of (1) year out of (3) shall be in the transportation industry or large-scale construction sector
- Experience working with construction project management documentation (I.e. RFIs, Submittals, AIA payments, invoicing, etc.)
- Proficient in MS Office Suite and PROCORE
- Familiar with PeopleSoft Financials and CCOM is preferred
- Good verbal communication skills, and strong writing skills

The expected salary for this position is $67,000 - $82,000
Individual pay is determined based on several factors such as work location, education, experience, and unique skills.
