At Mott MacDonald, we empower people to thrive. As a HR Data Management Administrator, you will play a key role in shaping a positive employee experience, from onboarding to offboarding, that reflects our PRIDE Values (Progress, Respect, Integrity, Drive and Excellence).

Key Responsibilities

  • Deliver end-to-end HR operational support across employee lifecycles, including onboarding, offboarding, and data management.
  • Maintain accurate employee records in HR systems (personal details, job information, compensation, benefits).
  • Administer employee benefits and liaise with external vendors (e.g., insurance providers).
  • Drive innovation by supporting digital transformation and continuous improvement in our HR systems to enhance efficiency.
  • Provide guidance on HR system usage and resolve user issues promptly.
  • Ensure data accuracy, security, and compliance across all HR systems and files.
  • Manage HR requests via ServiceNow; experience with Power BI and SAP SuccessFactors is an advantage.
  • Collect and consolidate payroll data for timely and accurate processing.
  • Complete HR administrative tasks (e.g., compensation updates, bank details, confirmation letters).
  • Partner with payroll to ensure statutory compliance (social security, tax, provident fund) and system updates.
  • Support HR transformation projects, including data migration.
  • Build trusted relationships, working collaboratively with stakeholders across our Asia Pacific region (APNA), such as HRBP, TA, Payroll, HRIS, and employees.

Onboarding & Offboarding

  • Facilitate onboarding for new hires, including employee code generation, personal data collection, and probation management.
  • Conduct onboarding checks (visa verification for AU/NZ, Fit2Work for police and qualification checks).
  • Administer offboarding processes, including system updates and stakeholder communication.

Data & Benefits Management

  • Update employee data in HR systems (personal details, position changes, profile modifications).
  • Prepare official documents (e.g., certificates, confirmation letters).
  • Administer benefits, compensation updates, awards, bonuses, and insurance enrollment.
  • Manage leave allowances and maintain organized employee files.

Continuous Improvement & Compliance

  • Demonstrate a commitment to continuous improvement and collaboration, supporting our vision for a workplace where everyone can thrive.
  • Drive process improvements, template updates, and HR procedure enhancements across APNA.
  • Demonstrate integrity by ensuring data accuracy, secure data handling, access control, and confidentiality.
  • Foster effective communication between HR Advisory and PeopleX teams.
  • Collaborate with multiple stakeholders to achieve optimal outcomes.

 

Requirements:

  • Bachelor’s degree in HR, Business, or related field
  • Solid experience in HRIS, HR operations, HR system, or payroll
  • Strong knowledge of HR Shared Service and payroll systems
  • Excellent attention to detail and English communication skills
  • Ability to prioritize and manage time in a fast-paced environment
  • Proven experience setting up HR systems and workflows
  • Skilled in stakeholder engagement and building trusted relationships across regions
  • Proactive, solutions-focused, and passionate about HR service delivery
  • Solid understanding of HR processes (payroll, time & attendance, talent management)
  • Collaborative team player with ability to deliver independently in a multinational setting
  • Strong problem-solving skills and continuous improvement mindset
