Experience: Minimum 5+ years in document control for large-scale construction projects.
Position Overview
The Document Controller will report to the Project Controls Manager and support the Senior Specialist Document Control Administrator. This role requires outstanding planning, time management, and organizational skills with superior attention to detail and the ability to meet multiple short-term deadlines. The ideal candidate will manage electronic and physical files throughout their entire lifecycle, ensuring compliance and accuracy.
Description of Duties
• Assist with the development and implementation of document flow procedures and policies.
• Understand and recognize different types of design and construction documents; organize, scan, categorize, meta-tag, and upload such documents into EDMS.
• Maintain the document management repository and ensure version control.
• Distribute and track electronic and physical project deliverables and controlled documents.
• Perform periodic review of contract/project files for compliance.
• Coordinate with project managers, design teams, and contractors to ensure timely and accurate document flow.
• Implement metadata standards and audit trails.
• Support multi-project environments and manage urgent deliverables effectively.
Required Qualifications
• Associate’s degree in information technology, engineering, construction management, or business administration; or 5 years of experience in electronic document control systems is required
• Minimum 5+ years in document control for large-scale construction/design-build projects.
Expert users of Microsoft SharePoint and Microsoft Office with enhanced EXCEL.
• Advanced proficiency in EDMS tools (Aconex, ProCore, Primavera Unifier).
• Excellent oral and written communication skills.
• Experience supporting external customers and cross-functional teams.
• Excellent Problem-Solving Skills.
Preferred Qualifications
• Bachelor’s degree in information technology, engineering, construction management, or business administration; or 8 years of experience in electronic document control systems.
• Specialty certification in document management or information governance.
• Experience in capital project/program environments with knowledge of design and construction documentation.
• Ability to perform routine quality assurance and quality control audits of document control operations.
• Experience with international projects and cross-cultural collaboration.
