The Opportunity

 

We have an exciting opportunity for an experienced Project Coordinator to support our Defence Program nationally.  In this role to be based in our Canberra office,  you will provides high‑quality coordination, administrative support, reporting, and delivery assistance to the Program Director, PMO Lead, Deputy Directors, and senior Program team. The role ensures Program processes, schedules, documentation, and communication are accurate, timely, and aligned with contractual and governance requirements. Through strong organisation, stakeholder engagement, and consistent PMO practices, the Project Coordinator will also contributes to efficient Program operations and successful outcomes across the Defence contract.

 

Depending on your specific expertise, your responsibilities will include various aspects of: 

 

 
  • Program Coordination & Integration
    Maintain effective coordination across PMO and Service Delivery teams, ensuring governance cycles, reporting activities, and Program deliverables run smoothly and on schedule.

 

  • Governance & Reporting Management

        Prepare, consolidate, and quality‑check reporting inputs; manage agendas, minutes, action tracking, and documentation in alignment with contract governance requirements.

 

  • Performance and Data Support
    Assist with collation, tracking, and maintenance of PMF data, ensuring senior leaders receive accurate, current, and standardised information.

 

  • Scheduling & Workflow Management
    Coordinate key Program calendars, reporting deadlines, governance cycles, assurance activities, and engagement forums, ensuring priorities of the Program Director and Deputy Directors are met.

 

  • Stakeholder & Communication Support
    Support stakeholder engagement activities by preparing communication materials, maintaining strong relationships, and ensuring smooth information flow across the Program.

 

  • Risk, Issue & Continuous Improvement Support
    Maintain risk/issue registers, assist with escalation processes, and contribute to continuous improvement by identifying inefficiencies and supporting improved processes and templates.

 

About You 

As a key member of the team, you will provide:

  • Demonstrated experience providing high‑quality coordination and administrative support
  • Strong capability in governance support and document management
  • Competence in data management, performance tracking, and reporting accuracy
  • Experience supporting assurance, compliance, and quality processes
  • Ability to maintain and monitor risk, issue, and dependency registers
  • Current AU security clearance (or eligibility to obtain)
