What You’ll Be Doing
As a Graduate Document Control Assistant you'll be processing all manner of Legal Documents including Board Minutes, Written Resolutions, Powers of Attorney, Consultancy Agreements, Deeds, Collateral Warranties, Sub-Consultancy Agreements, Parent Company Guarantees, Confidentiality Agreements, Letters of Appointment/Engagement, Leases and Licences.
The Group Legal Department is a busy international team of legal professionals with technical experts based in the UK, Dubai, India, Singapore, Australia, Canada and the USA. The Legal Department is headed by our Group General Counsel and Group Company Secretary and the Company Secretarial Practice is managed day-to-day by the Deputy Company Secretary.
Duties include:
- Document Execution Process – handling the daily workload of processing for execution a large variety of Legal Documents including Board Minutes, Written Resolutions, Powers of Attorney, Contracts, Deeds, Collateral Warranties, Sub-Consultancy Agreements, Parent Company Guarantees, Confidentiality Agreements, Letters of Appointment/Engagement, Leases and Licences and processing them for execution by the directors and officers (via DocuSign or wet-ink);
- Checking that all approvals, consents, financial limits, special conditions etc., are in place, and all support documents and legal reviews are attached and in good order before the engrossment versions are sent to the various boards for execution;
- Completing Signature Request Forms to accompany the signature bundles;
- Scanning of the executed documents and arranging for the originals to be couriered to the requestors;
- Recording executed documents in SharePoint (digital file storage) and Diligent (database);
- Filing of executed PoAs, PCGs and other legal documents in SharePoint, and
- Under supervision, occasionally processing legal documents to be notarised, translated, consularised and apostilled.
The Document Control Team are based in our London office (Fleet Place, EC4). The new role of Graduate Document Control Assistant will be based three days a week in the Fleet Place office and two days remotely. They will be working alongside one other teammate based in our London office and four others based in our Croydon office, but who often attend the Fleet Place office as part of their duties.

This position requires a legal graduate, with strong communication skills, exceptional organisational and accuracy skills and a keen eye for detail. A strong work ethic to be able to manage a high volume of commercially sensitive documentation and the ability to work as a proactive team member and manage and prioritise conflicting demands are essential. Full training on Mott MacDonalds Document Execution process will be provided, and the appointees will have the ongoing support of the entire Company Secretarial Practice. Previous experience of office working and in document handling is desirable but not essential.
To be eligible for this opportunity, you will have less than 12 months’ relevant experience (excluding placements) and have already obtained a minimum of a bachelor’s degree (obtained no earlier than 2024) in the following degree discipline:
