Overview of the role
The People Systems Lead for Talent Acquisition & Onboarding is responsible for the optimisation, governance, and continuous improvement of the systems that support the organisation’s hiring and onboarding processes, with a primary focus on SAP SuccessFactors Recruiting, Onboarding, and associated tools.
Working in partnership with the Group People Systems Manager, Talent Acquisition leadership, HR Operations, and IT, this role ensures that technology solutions effectively support the end-to-end candidate and new-starter experience. The role balances functional expertise with system capability, ensuring that processes are efficient, compliant, and aligned with the wider people systems strategy.
This role acts as the subject-matter expert for the TA/Onboarding systems landscape, supporting system enhancements, driving adoption, and contributing to the broader people technology roadmap.
Key responsibilities and duties include:
- Functional Systems Support and Subject Matter Expertise
- Serve as the primary point of contact for all system‑related queries within Talent Acquisition and Onboarding
- Provide expert knowledge of SuccessFactors Recruiting, Onboarding and related tools
- Translate functional requirements into system configurations, enhancements or process changes
- Ensure system design supports efficient, compliant and user‑friendly processes
- Continuous Improvement and Optimisation
- Identify opportunities to streamline workflows, automate tasks and improve the candidate and new‑starter experience
- Analyse system performance, user feedback and process pain points to recommend improvements
- Support the Group People Systems Manager in implementing enhancements aligned with the wider talent acquisition strategy and the people systems roadmap
- Maintain documentation, process maps and configuration records for the Talent Acquisition and Onboarding systems
- Project and Change Delivery
- Support the delivery of system changes, upgrades and new implementations within the Talent Acquisition and Onboarding workstream
- Participate in project planning, testing and deployment activities
- Coordinate user acceptance testing and ensure functional teams are prepared for go‑live
- Contribute to business cases and functional requirements for new technology investments
- Stakeholder Engagement and Collaboration
- Work closely with Talent Acquisition, HR Operations, Hiring Managers and IT to ensure systems meet functional needs
- Collaborate with vendors and internal technical teams to resolve issues and deliver enhancements
- Provide clear communication on system changes, timelines and impacts to stakeholders
- Ensure alignment with group‑wide governance, data standards and integration requirements
- Training, Adoption and Support
- Develop and deliver training materials, guides and support resources for system users
- Promote effective adoption of Talent Acquisition and Onboarding tools, ensuring users understand system capabilities and best practices
- Monitor adoption metrics and user experience, escalating issues or improvement opportunities
- Provide day‑to‑day support for system queries, troubleshooting and issue resolution
- Data Quality and Compliance
- Monitor data accuracy and completeness within the Talent Acquisition and Onboarding systems
- Ensure processes and system usage comply with regulatory requirements such as GDPR and right‑to‑work checks
- Support audits, reporting and data governance activities
Candidate specification
We’re looking for a proactive and technically minded People Systems professional who can bridge the gap between Talent Acquisition processes and system functionality. The ideal candidate will bring strong analytical capability, confidence working with recruitment and onboarding technologies, and a collaborative approach to partnering with HR, IT, and operational teams.
Essential:
- Strong understanding of Talent Acquisition and Onboarding processes
- Hands-on experience with SAP SuccessFactors Recruiting and/or Onboarding modules (or similar ATS/Onboarding platforms) is beneficial
- Ability to translate functional needs into system requirements and practical solutions
- Experience supporting system changes, enhancements, or implementations
- Strong analytical skills with the ability to identify process inefficiencies and propose improvements
- Excellent communication and stakeholder-management skills
- Ability to work collaboratively across HR, IT, and operational teams
