The Social Infrastructure team at Mott MacDonald delivers a range of meaningful projects to support vulnerable communities across the UK, supporting delivery of key policies in areas such as social care, early years and health.
One of our key projects is the Adoption and Special Guardianship Support Fund (ASGSF), a programme we have successfully run since 2015, for our client for the Department for Education (DfE). Over £350 million has been spent to ensure more than 129,000 adoptive and special guardianship order families across the country have access to funded therapeutic support.
The Project Administrator role involves working with internal and external stakeholders, reviewing and assessing applications made to the ASGSF. You will also manage day-to-day queries from stakeholders and provide administrative support to the wider team. We are looking for an enthusiastic and self-motivated team player who has excellent communication skills.
As Project Administrator you will be part of our programme team. You will be joining a supportive group who work together to achieve programme goals through connected thinking. Our Project Administrators play a vital role in ensuring the success of the ASGSF.
What you will contribute:
- Utilise a bespoke IT solution to process applications to the Fund
- Support with monitoring a shared inbox; investigate and respond to queries, flagging for other team members’ attention and referring or escalating where needed
- Handling inbound calls from stakeholders with a goal of achieving stakeholder satisfaction
- Relationship building through maintaining exceptional customer service standards
- Attend meetings and share best practice with colleagues
- Process and analyse data accurately to respond to requests for information
- Support with producing, formatting, and distributing programme documentation (this may include minutes, reports, and presentations)
- Maintain programme records in accordance with our internal Business
- Management Systems (BMS) and programme-specific requirements
- Engage in continuous improvement and seek ways to increasing efficiency
- Provide additional administrative support to the Programme management team as required.
Must be able to travel to a local office for collaborative working.
To be successful in this role we would like to hear from individuals who have worked in a busy administration role previously, are used to handling high volumes of data and have good attention to detail.
You will be confident in liaising with internal colleagues and external stakeholders and clients, have excellent organisational skills with the ability to meet deadlines and be able to work in what can be a high-pressure environment.

Required for the position of Project Administrator:
- Previous experience in a similar role and/or environment
- Ability to work both independently and as part of a larger team
- Email and telephone communication with stakeholders and the ability to build strong relationships
- Ability to follow written procedures and learn new processes quickly and easily
- Computer literate in Microsoft applications
- Effective time management and the ability to prioritise and work under pressure
- Good attention to detail to ensure accuracy.
Preferred, but not required:
- Experience of working with Local Authorities or Central Government
- Experience of using Microsoft PowerBi.
