Role Purpose

The Document Controller will provide comprehensive document control support to the major projects in UK, ensuring that all project documentation is accurately processed, controlled, quality-checked and issued in line with UK standards, client requirements, and project procedures. The role is critical in maintaining document integrity, compliance, and effective communication between project teams.

 

 

Key Responsibilities & Duties

 

Document Control Operations

  • Issue project documents to partners/team via ProjectWise in accordance with agreed workflows, naming conventions, and distribution matrices
  • Process incoming and outgoing documentation ensuring correct status, revision, and approvals are applied
  • Assist project teams with updating documents to WIP (Work in Progress) status when required

 

Quality Assurance & Compliance

  • Perform detailed QA checks on all project deliverables, ensuring alignment with:

o Project document formatting guides

o Project standards, templates, and metadata requirements

  • Ensure documents meet contractual, procedural, and audit requirements before issue

 

Comments & Review Management

  • Process team comments within ProjectWise accurately and efficiently
  • Distribute comments to appropriate teams and track responses through to closure
  • Maintain clear version control during review cycles to prevent superseded or incorrect information being issued

 

Communication & Coordination

  • Act as a point of contact for document control queries between external & internal project teams
  • Support effective communication by ensuring that relevant stakeholders receive accurate and timely documentation

 

Records & Reporting

  • Maintain accurate document registers and issue logs
  • Support audits and reporting requirements by providing document status updates and evidence when required

 

 

Skills & Experience

 

Essential:

  • Previous experience in a Document Control role on large infrastructure or construction projects
  • Strong working knowledge of ProjectWise
  • Experience working with EDMS platforms and document workflows
  • High attention to detail and strong organisational skills

 

Desirable:

  • Experience in major UK infrastructure projects
  • Familiarity working with multiple teams and EDMS workflows
  • Understanding of document lifecycle management and QA processes
