Project Administrator

 

Job Description

We are looking to hire a Project Administrator who will provide direct support to the Mott MacDonald’s Management team. The ability to multitask is essential to the role and the candidate must be self-motivated, professional, and excellent at communicating. 

Project Administrators will provide general support services to the Division Managers and project-related administrative services to Project Managers. This support role leverages your professional skills to support improved time management, focus and effectiveness of the project team.

The Project Administrator will work collaboratively with Project Managers and project teams on project business compliance, with support from Accounting or Divisional Commercial Managers.

 

Duties and Responsibilities
•    Support project managers in implementing internal project business management and quality procedures
•    Assist project managers with project set up including budget set up, resourcing, task creation etc. 
•    Assist in closing pursuits (PRO, FEE, and CRM opportunities)
•    Assist project managers with monthly progress evaluations and troubleshooting of issues
•    Be a resource for project managers by providing guidance on processes, system requirements to ensure smooth project execution
•    Support internal project communication as well as project documentation requirements
•    Support contractual processes including working with sub-consultants and commercial manager
•    Support routine project requirements and deliverables including e-form preparation, transmittals, specifications, and document controls
•    Conduct mock audits

 

Other duties may include:
•    Support general office and project needs to ensure various activities are occurring, including:
o    Assisting with onboarding, transfers and exiting of staff
o    Ordering of office supplies
o    IT interfacing
o    Draft and Final report formatting and editing
o    Arrangement of meetings, lunches, and other events 
o    General office administrative needs

 

The ideal candidate will have experience in the following:
•    5+ years of experience in a Project administrative role
•    Experience with CRM systems and SharePoint
•    Experience supporting project managers 
•    Must be proficient in Microsoft Office tools such as Outlook, Word, PowerPoint and Excel
•    Exposure to engineering business is preferred but, not required

 

Working hours note: As the role will work closely with the team based in western part of USA (Pacific Standard Time zone), role holder will be expected to be flexible and provide overlap working of about two hours while working from India – which may mean your typical working hours could look like 3:00 pm – 11:30 pm IST.
