About the Business Unit
Global Delivery Services Centre (GDSC) is a high-impact business unit within Mott MacDonald, dedicated to enhancing project delivery across our global operations.

The transportation (TPN) unit is currently seeking a WIN administrator to join our transport team in EUNA. This is an opportunity to be involved in large opportunities that have huge positive impacts on the way the world transports people and goods for the future. The bid teams are involved from the concept stage of many of these projects and are part of the team that delivers them all over the world.
Job Responsibilities
In this role, you’ll be expected to:

Review and distribute messages through our team inbox including portal notifications, and manage the exchange of information

Knowledge of UK geographical area
-
Scan for new opportunities and distribute to a designated distribution list
-
Register expressions of interest for new opportunities, exchange documentation, export online questionnaires, messages/clarifications, and check deliverables
-
Upkeep of our bid TPN bid register with all new tenders we’ve registered an interest in
-
Submit technical questions from the bid team via client portals in a timely manner

Follow up the status of bids (those not been confirmed) and update our bid register accordingly
-
Drive submission delivery by managing and promoting upcoming bid deadlines on our TPN bid register, ensuring all leads are informed of portal requirements

Submitting bids through portals

Upkeep of TPN portal list, framework and distribution list, and guidelines
-
Update our EUNA portal registration and framework list
-
Follow up on any outstanding client questions after submission deadlines to ensure client queries are resolved by their deadline

Comply with company systems, practices, guidelines and develop a comprehensive understanding of the formal bidding process with Mott MacDonald

Have a knowledge of our CRM system Connect Clients

Support the preparation and production of bids, including:
-
Preparing and formatting our proposal templates according to our Mott MacDonald Style Guide
-
Modifying and formatting CVs and case studies
-
Respond to Expressions of Interest and Pre-qualification Questionnaires using standard company information
-
Coordinating inputs from the nominated parties
-
Maintenance and updating of knowledge repositories and databases. Applying appropriate metadata, tags, and categories to information. Performing quality assurance and validation

Identifying and addressing knowledge gaps
-
Actively participate in and contribute to TPN WIN team meetings to support continuous improvement in our processes

Support with general ad hoc administrative requests.
Candidate requirements:

Interested in the variety that working in a large consultancy provides

Ability to manage multiple tasks concurrently while prioritising bid deadlines

Ability to handle large volumes of information and communications

Ability to work under pressure and be flexible

Self-directed, take initiative and ownership

Fluent written and spoken English

Good communication skills with all levels of colleagues

Ability to use computer-based technology and internal software

Practical understanding of MS 365 suite of products

Basic knowledge of AI tools (e.g. Copilot)
- 3 - 5 Years in Experience in BID Work, supporting pursuit/bid activities, Bid/Proposal Administration
- Graduate in any discipline
Preferred:
-
Strong administrative skills managing large volumes of emails
-
Practical experience of working on proposals, preferably with global technical consultants will be an advantage

Knowledge of UK public sector procurement and portal management experience
-
Membership with the Association of Proposal Management Professionals (APMP)
