Mott MacDonald is looking for an enthusiastic and motivated Project Coordinator to support successful delivery of complex infrastructure and development projects throughout the Vancouver area. In this role, you will assist the project management and engineering teams in tasks such as managing design services budgets, deliverables, invoicing, developing, monitoring, and updating project plans, forecast project costs, provide analyses to support change management, assist with monthly and quarterly reports either of financial nature, progress related or both.
Additionally, you will play a key role in ensuring compliance with best practices and project standards, participating in training workshops, and maintaining high standards of document governance. The ideal candidate will bring expertise in document management systems, quality assurance, and stakeholder coordination, playing a critical role in maintaining the integrity and accessibility of project documentation.
Key Responsibilities:
- Support cost control across multiple projects, including budgeting, forecasting, and financial reporting.
- Monitor costs against budgets, conduct variance analysis, and communicate performance to stakeholders.
- Administer change control processes related to scope, budget, contracts, and schedule.
- Maintain accurate project data for cost, schedule, contracts, and invoicing.
- Prepare dashboards, reports, and presentations for management review.
- Review, reconcile, and track invoices and payments for internal teams and third parties.
- Assist Project Managers with contract administration and coordinate with clients and subcontractors on cost-related matters.
- Manage and maintain EDMS across multiple projects, ensuring accurate classification, metadata, and version control.
- Coordinate distribution, tracking, and timely submission of project documents and deliverables.
- Perform quality assurance checks to ensure compliance with internal standards and client requirements.
- Support the Project Manager prepare monthly progress reports and general document management in line with the Document Management Plan.
- Act as the primary contact for document control and liaise with project teams and stakeholders.
Candidate Requirements:
- 3–5 years of experience in project cost control or project administration role or similar.
- Solid understanding of budgeting, cost control, earned value, scheduling, risk, and contract administration.
- Knowledge of scheduling (including either Microsoft Project Office and/or Primavera P6), capital cost estimating, risk management, and other contracts and procurement project control related activities.
- Strong organizational and problem-solving skills with attention to detail.
- Effective communicator with proven stakeholder engagement and teamwork abilities.
- Capable of managing competing priorities and delivering in fast-paced, deadline-driven environments.
- Proven experience in capital project environments with knowledge of design and construction documentation.
- Proficiency in tools such as SharePoint, Aconex, ProjectWise, ACC, Bluebeam, Power BI, and Microsoft Office would be an asset.
- Diploma or Bachelor’s degree in Business Management or Administration, or a related field or relevant experience.
- Excellent interpersonal skills with proven ability to work effectively as part of a multi-disciplined team.
- Experience in consulting engineering environments and multidisciplinary project teams in Canada.

Multiple factors such as qualifications, overall experience and position responsibilities will be used to determine the successful candidate's actual salary within the expected range.
The expected salary range for this position is from $79,000 - $96,500.
